How to Improve Outlook Meeting Reminders

Verify Outlook and system settings

Confirm reminders are enabled in the Outlook version you actually use. Then check browser or operating-system notification permissions, Focus Assist or Do Not Disturb settings, sound output, and multi-monitor placement.

Use a test meeting rather than waiting for a real call. If the test reminder never appears, fix delivery first. If it appears but is too easy to overlook, improve the response workflow.

Match reminder time to preparation time

Set reminders based on what must happen before the meeting: close the current task, open notes, find the Teams link, and test audio. A standard fifteen-minute reminder can be too early for one meeting and too late for another.

Add an alarm without replacing Outlook

Meeting Guardian connects through Microsoft's read-only Calendars.Read permission. It imports upcoming timed events and presents an active browser alarm while the tab is open. Outlook continues to manage invitations, attendees, recurrence, and edits.
